Sojourns and Sea Turtle Flagship Program 
Reports to: Sojourns Operations Manager and Vice President 
Virginia
 

Since 1997, CI-Sojourns has offered its closest friends and supporters a rare opportunity to see and feel what CI does, to fully understand the challenges and joys of field-based conservation, and to become engaged with CI’s work at a very personal and visceral level. CI-Sojourns organizes tours for small groups (1-10 people) and provides staff experts as guides, designing tours to any of the countries where CI is active. The CI-CABS Sea Turtle Flagship Program (STFP) combines science and communications to use sea turtles as icons for the seas and change human behaviors in ways that reduce threats to marine biodiversity.   This position is the liaison between these 2 programs and works closely with staff of both programs to insure they run smoothly on a day-to-day basis.

RESPONSIBILITIES:

  • Provide assistance to the VP by managing calendars and appointments; making travel arrangements (domestic and international), including flights, car rental, and hotel reservations; assist with correspondence, including mailing and filing (electronic and hard copy)
  • Handle all scheduling logistics
  • Providing administrative assistance to both CI-Sojourns and CI-CABS Sea Turtle Flagship Program including processing HR paperwork for interns, as well as processing internal finance paperwork for payments, reimbursements, and grants
  • Additionally this position manages the photo library for the VP, including downloading and filing photographs (electronically), and liaisoning with CI-Sojourns, CI-CABS Sea Turtle Flagship Program and other CI department staff for photographic needs

QUALIFICATIONS:

Required Skills:

  • 1-2+ years experience in providing administrative support with experience interacting with a diversity of people and situations, internally and internally
  • Four year college degree in Administration or equivalent work experience
  • Good communication and writing skills
  • Superior organizational, interpersonal and problem solving skills with attention to details
  • Ability to produce high quality results while juggling competing priorities against tight deadlines
  • Intuitive self-starter with proactive, "get-it done" personal style
  • Customer service and team oriented work style
  • Proficiency with MS Office and Outlook and web researching skills
  • The Administrative Assistant to the VP must demonstrate a high degree of professionalism under stress, work with minimual supervision, respect confidentiality issues, juggle multiple demands and demonstrate superior organizational skills

Preferred Skills:

  • Experience with Adobe Photoshop and/or Lightroom helpful
